What we collect
We collect the information you give us to run your account: your name, email, phone number, and store. We collect the customer records you create, including names, phone numbers, emails, notes, and the stages and follow ups you track. We collect basic technical information such as log data and the times you sign in, which helps keep the service secure and working. Payment card details are handled by Stripe and are never stored on our servers.
Your customer records belong to you
The customer information a salesperson enters belongs to that salesperson. We store it only to provide the service to you. We do not sell it, and we do not share it with other members. We use it to run The Vault Board for you and to power the features you choose to use.
The companies that help us run the service
We rely on a small set of trusted providers, called subprocessors, to operate. Each receives only the data it needs to do its job:
- Stripe processes payments and stores your card details.
- OpenAI and Anthropic power the Jarvis AI features. When you use those features, the relevant text is sent to them so they can generate a response. Under their API terms, both state that data sent through their APIs is not used to train their models. Those terms can change, so please confirm the current versions directly if this matters to you.
- Resend delivers our email, such as the morning digest and messages from this contact form.
- Railway hosts the application and its database.
- Sentry collects technical error reports, and records masked session replays inside the member app, so we can diagnose problems like a frozen board. Replays are masked as they are captured: all text and everything you type are hidden, and images and media are blocked, so a replay shows how the app behaved, not your customer names, notes, or other content. A small sample of sessions is recorded, and a session is always recorded when an error occurs. This runs in the member app, not on the customer capture page.
How long we keep your data
We keep your account and its data for as long as your account is active. When you cancel, we keep everything for 90 days so you can return without losing your work. After 90 days, a canceled account and its data are permanently deleted. Error, log, and masked session replay data is kept only as long as it stays useful for security and troubleshooting.
Deleting your data
You can cancel from inside your account, which starts the 90 day deletion described above. If you want your data deleted sooner, or you want a copy of it, write to ericescobedoonline@gmail.com and we will take care of it.
